Ergonomics Risk Factors
The ten most common ergonomic risk factors behind office work-related musculoskeletal disorders (WMSDs), ranked by prevalence and severity, with the body region each one affects. There is no dedicated OSHA ergonomics standard for office work — these hazards are addressed through the General Duty Clause and voluntary best practice.

Poor seat height, missing lumbar support, or worn-out chairs force the lower spine out of its natural curve during prolonged sitting. Lower back pain is the most commonly reported office WMSD after neck pain, affecting roughly half of office workers in recent prevalence studies.
A monitor set too low, too high, or too close forces sustained neck flexion or extension. Neck pain is the single most prevalent office musculoskeletal complaint, reported by well over half of computer-using employees in recent research.
Keyboards and mice placed too high, too far, or at an awkward angle drive wrist extension and ulnar deviation, contributing to tendon strain and carpal tunnel risk. Proper placement keeps wrists neutral and elbows close to the body near 90 degrees.
A laptop's fixed screen-to-keyboard distance makes good posture for both the neck and wrists impossible at the same time — raising the screen tilts the keyboard out of reach, and vice versa. An external monitor, keyboard, or mouse resolves the conflict.
Remaining in one seated posture for hours reduces circulation, increases spinal disc loading, and allows muscle fatigue to accumulate even in an otherwise well-configured workstation. Static posture, independent of chair quality, is an independent WMSD risk factor on its own.
Overhead glare, window reflections, or poor screen brightness cause eye strain and headaches, and employees often lean or twist to avoid glare — introducing a secondary postural hazard on top of the original lighting problem.
Looking down at a phone or tablet for extended periods can load the cervical spine at several times normal head weight. As handheld device use has become a routine part of the workday, this is an increasingly common contributor to neck strain.
Hoteling and hot-desk arrangements mean employees frequently use workstations sized and adjusted for someone else. Without quick, repeatable adjustment habits, each new desk reintroduces the same monitor, chair, and keyboard risk factors from scratch.
Documents placed flat on the desk or a secondary monitor angled off to one side both force repeated neck rotation and downward glances throughout the day. A document holder positioned at screen height, and monitors angled toward primary use, reduce this load.
NIOSH research has found that short, strategically spaced rest breaks reduce eyestrain and musculoskeletal discomfort for computer users without reducing productivity. Employees who work long uninterrupted stretches lose this protective effect, regardless of how well the workstation itself is configured.

No Dedicated OSHA Standard
OSHA does not currently maintain a specific ergonomics standard for office or computer work. Employers are still expected to address recognized ergonomic hazards under the General Duty Clause, Section 5(a)(1) — making documented evaluation and correction the most defensible approach.
